THE STORY
Seeking to optimize internal processes using AppSheet
For years, XTPL had been leveraging Google Workspace tools for their daily operations. So, when the need arose to enhance control over the procurement process and expedite the return of company vehicles, building applications based on AppSheet seemed like the obvious choice. This was due to two key reasons: its seamless integration with their existing Google Workspace environment, and the fact that AppSheet was already in use within the company, making user adoption of new tools much smoother.
However, XTPL preferred not to involve their internal IT department in this process. They aimed to reduce the app creation workload for their administrators and therefore entrusted the app development to their Google Workspace partner, FOTC.
THE SOLUTIONS
Productive partnership in developing the applications
After a thorough understanding of XTPL’s needs and receiving guidelines on the desired functionality and features of the applications, the FOTC team began developing the requested tools in AppSheet. The process was divided into phases, with the XTPL IT team verifying the functionality after each stage. As work progressed, new ideas for improvements arose and were continuously implemented.
Once the applications were ready, they were handed over to XTPL. Because the IT department employees were kept informed about the configurations of individual functions, they can now independently implement any necessary changes and, if needed, further develop the applications in line with the company’s evolving needs.
THE RESULTS

The implemented applications streamlined previously tedious workflows. XTPL team members experienced significant relief thanks to a range of automations, while the management gained greater control over the processes.
The application for internal order is designed to streamline every stage of the process. Users benefit from intuitive forms featuring pre-filled fields, automated background data collection, and smart suggestions, making order placement effortless. The app dynamically calculates the total order price using real-time currency conversion rates from Google Sheets.
Based on the order’s value, the application automatically routes it for approval to the relevant manager and/or director. Automated notifications keep both the requester and the approver informed of the order’s progress at each stage. For high-value purchases, the app manages multi-level approvals seamlessly. It automatically identifies and notifies the appropriate sequence of approvers, escalating to higher positions only upon lower-level approval. Once approved, the app provides clear visibility into the order’s fulfillment status.
The car inspection app provides a simple and intuitive way to document vehicle condition after each use. Designed for ease and speed, its features streamlined forms with clear instructions, enabling users to quickly record essential vehicle details. Convenience is enhanced through automatically populated fields and predefined answer options. Furthermore, the app allows users to easily capture and upload photos, which are securely stored in Google Drive for future reference.
