Webcrafters was facing challenges stemming from a distributed work environment based on free tools. To centralize data, simplify communication, and enhance cybersecurity, the company decided to implement Google Workspace. The search for an integrated and secure work environment
Previously, Webcrafters used free Gmail accounts, a personal Google Drive, and an external application for video conferencing, Zoom. This work model not only made data management and oversight difficult, but also generated cybersecurity risks. What’s more, the company struggled with the deliverability of emails sent from the company’s mailbox.
The organization sought to centralize resource management and streamline information flow within a unified, secure infrastructure. Since employees were already familiar with some tools within Google Workspace, such as Google Docs, this ecosystem was a natural choice.
However, the key challenge proved to be not only selecting the right plan but, above all, ensuring that the migration would proceed smoothly and without disruptions. FOTC took full responsibility for the technical side of the Google Workspace implementation.

FOTC provided Webcrafters with support at every stage of the transformation. The process began with a precise needs analysis, which led our specialists to recommend using a combination of two types of Google Workspace plans: Business Starter and Business Standard.
This allowed for cost optimization while providing managers with greater control over user management and increasing data storage space. A key element of the implemented solution was also the replacement of the Zoom application with the integrated Google Meet tool, which helped simplify communication within the company.
FOTC’s professional project management included not only a carefully planned migration but also a complete technical configuration of the service. This was crucial, as handling the admin panel on their own was a challenge for the Webcrafters team. Thanks to this comprehensive approach, the entire transformation process went exceptionally smoothly, and the team could start working on the new platform.

Company’s team collaboration became smoother thanks to centralized calendars and easy access to video conferences in Google Meet, including the option to record meetings. Additionally, the ability to conveniently share files and folders helped speed up daily remote work.
One of the most significant benefits the company gained after the implementation is a significant improvement in employee onboarding and offboarding processes. Full control over the user account lifecycle from a central admin console gave Webcrafters a tool to maintain continuity and protect business data.
