5 reasons to set up Google Groups

Google Groups were created to better organize cooperation within the company. Thanks to them, it is possible to communicate, discuss projects and share observations. Google Groups are more secure than a shared e-mail address used by several people at the same time. Using this Google tool increases your work efficiency. Here are the top 5 benefits of Google Groups.

1. Functionality

Google discussion groups are used by both smaller and larger companies. Using general e-mail addresses (e.g. [email protected]) may cause difficulties and confusion. For example, an e-mail does not tell you who has read your messages and who has not. It may lead to a confusion as to who is responsible for the given task.

Keep everyone posted

Google Groups helps you stay organized. The bear all the hallmarks of a forum, which organizes all relevant information in a separate post. The layout of the posts presents the flow of the conversation in a clear form.

If you want to send a message all group members, simply use the e-mail address assigned to it. Then the information will be delivered to all discussion participants, and we will not have to add e-mail addresses individually in the recipient field.

2. Work organization

Many users fear missing messages if they belong to several Google Groups. After all, in order to focus on your daily task, we usually mute the groups that are not a priority to us at the moment.

Google Groups has a solution for this. Thanks to the folder creation function, even if you are a member of many groups, you can sort threads. You can divide them into those that are currently important and those that you do not want to follow for now.

Share Docs and Calendars

Additionally, Google Groups allow you to share documents, calendars and files stored in Google Drive. It is natural that people migrate between projects. Google Groups has you covered in that aspect as well. People joining a project, and thus becoming members of a Google group, will automatically gain access to all previous posts. This will help to bring them up to speed and refer to previous decisions in a natural manner.

Similarly, when a project comes to an end, or a person is removed from a group, they no longer receive communication from the Google group.

3. Intuitive layout

Discussion groups, like the entire Google toolkit, have been designed to be intuitive to use. You can easily create a new group or join an existing one.

In addition, the administrator (group owner) can add new members, change access settings, distribute tasks and assign permissions to individual users.

You can use them on both your computer and mobile devices. An additional advantage is the ability to use keyboard shortcuts when reading and creating threads. This makes work much more efficient.

4. Set up meetings

Google Groups included in the Google Workspace package facilitate the organization of meetings, conferences and events.

You can share your Google Calendar with discussion members and invite them to a specific event. The service allows you to export a list of usernames along with their e-mail addresses.

5. Find inspiration and help

Google Groups is rife with information that is vital for carrying out projects in your company. If you encounter a problem that you cannot solve on your own, you can find a thematic group with answers to your doubts. As a member of a given group, we are of course allowed to ask other users about a problematic issue and ask for clarification.

Google discussion groups are a tool that allows you to control the amount of information, improve cooperation between employees and ensure better organization in the company. They are great for both small and larger team communication.
