Main challenge
Before switching to G Suite, the company used various independent applications for email, scheduling and document editing. This was problematic due to the lack of compatibility between the apps and creation of data silos.
In addition, it was important for the company to block the possibility of logging in from outside the organization. Due to the specifics of the industry, the company understands the importance of effective email communication. However, with several dozen emails per day the employees quickly ran out of space.
The company used many different services, which further complicated the setup process.
Solution
G Suite turned out to be the perfect solution for the company. The functionalities it offered were a perfect solution to the problems at the company. With an integrated suite consisting of Google Docs, Gmail and Calendar the company could ditch all their old applications and build a coherent work environment.
Custom administrator settings allowed them to block file sharing outside the organization. It is now also possible to monitor and detect suspicious logins. Storing files on an unlimited location in the cloud solved space problems on employees’ computers.
Results
The company made the decision to switch to Google many years ago. All the most important documents were migrated very efficiently, but a decision was made not to migrate all emails. Initially, the dual delivery feature was set up to ensure that employees received mail to both inboxes. Over time, this idea was gradually abandoned, and G Suite email was introduced as exclusive mail in all departments. The company also created an internal marketing campaign that aimed to present the benefits of the new tool.
The transition to the cloud was a significant change for the company. Internal trainings and awareness campaigns were carried out to help employees understand the benefits of G Suite.
