The Untold production from Cluj-Napoca has become the most impactful event in Romania in the last seven years. While gathering the most important commercial DJs in the world on stage, behind the scenes there’s an always-on-the-move modern team of over 250 people, always working, always connected.
An ever-expanding business and infrastructure, the Untold Group has come to understand that it needs to guarantee employees a smooth communication, data security, connectivity and an ample space for creativity. After years of working directly with Google, the company took the next step and chose to work with a local Google partner – FOTC Romania.
The main challenge
The success of the Untold festival has simultaneously brought success to the company, a success that has materialized in the form of other companies and dozens of other additional projects. The scalability of an office suite that keeps evolving at the same pace with the company’s expansion has thus become a priority for the group.
You enter the game believing that you have to solve only one problem at a time, only one current situation, without anticipating what you want to communicate in a year or two or what problems you will have to face in a year or two. And there will be some scenarios you are not prepared for. You will run into things that you will not be able to find solutions to. If you do not have a well-developed scaling plan, you will not be able to survive
Untold is not only a growing and developing company, but also an atypical company consisting of a team that includes people who work directly on the field, at the festival, and also people part of the creative team who can’t work other than connected to a laptop.
Connected via Google Workspace, both new and existing employees get easy access to all work tools and to other platforms with a single login with a Google Account.
Workspace allows you to do many things in one place. It also helps us by facilitating access on other platforms through the same Google.account, all platforms centralized in one place.
In addition, with an email service as popular as Gmail, the company has a big rate of adoption of the Workspace ecosystem tools, apps that many employees were already familiar with.
Gmail is the most used application in the company. Google Drive is also a great place to store all your Google Sheets documents or other presentations. And recently we managed to convince people to completely use Google Meet, we converted them to the Google video call tool after years of using Zoom. It's a whole lot easier to use and more user-friendly.
Last but not least, the security guaranteed by Google was another important benefit for a large group as Untold.
I would say that, unlike other office packages I've worked with before, with Google it's much easier to implement security measures. We have good control over all user activity. The device control option – which we do not currently use – is once again a strong asset to consider.
The advantage we have gained with Workspace is that, compared to other technical solutions such as a local mail server, the process is way more simple and you always have access to the documents you work with regularly, no matter where you connect from.
Converted to the tools and the way Google works, at the beginning of 2022 the group made the transition to collaborating with FOTC Romania, a Google Premium partner. The company currently owns 257 Google Workspace Business Starter licenses.
We knew about Google's local partners, but at first they were of no interest to us. But when we received the FOTC offer, we realized what a difference it could make. Initially we thought it would be helpful only on the financial side, but we were then convinced that the technical support is also a real help. There are issues that we can solve internally, but itțs different knowing you can rely on specialized support at any time.
Proactive technical support is one of the benefits for which the company recommends working with FOTC’s specialists.
I did not expect them to be so proactive and solve so many things. There was this one time we asked them a question, because many times I can't go through the documentation to find the answer myself, and to my surprise they not only came with an answer, but also proactively solved the ticket in question.
Does the company recommend working with a Google partner for cloud solutions?
I would recommend any business or entrepreneur to turn to a Google expert. It's probably not a solution that you can easily contract, but we recommend working with an expert who, in the long run, will solve problems that you didn't even imagine at first.
