Freedom Nieruchomości is a network of real estate agencies that has been operating on the market since 2010. The company has also been building a wide network of franchise offices for 8 years. Nowadays, there are 63 branches operating all over Poland, employing over 500 specialists. 

The company’s branches are located all over the country and agents work in different locations. That is why, the reliability of cloud tools is so important. Well-selected and properly configured solutions enable not only to be in touch very quickly, but most of all, they provide comfortable and safe teamwork.

Company’s needs

The team of Freedom Nieruchomości has been using the Google Workspace (previously G Suite) application since the first days of the company’s existence. The most important functionality that convinced the founders of the company to rely on this system was the possibility of owning a common storage space that would enable to store and easily share necessary documents, such as contract templates, with the team members. The great advantage of the Google environment is also the possibility of using a mutual calendar where interested members of the organization have an access to. 

The basic variant of Google Workspace has worked well to a certain point, but over the course of several years, the development of Freedom Nieruchomości contributed to the fact that these functionalities turned out to be insufficient, and additionally, the rules of using cloud-based tools became blurred. The discs were in chaos, the rules of file sharing ceased to be transparent and some communication was shifted to external channels. The persistent need to constantly switching between different applications and messengers also convinced us to search for new solutions.

The chance to introduce fundamental changes happened during the upgrade of the service from Basic to Enterprise.

Solution

Freedom Nieruchomości has been using the agency and support of FOTC for years. What initially encouraged the company to cooperate with this Google partner was a reliable technical support and Polish invoices. 

As a result of transforming G Suite into Google Workspace, Freedom Nieruchomości faced the need to implement a higher package. The leap from G Suite Basic to Google Workspace Enterprise was a big challenge because dozens of advanced management options in the Admin console that need to be used well have appeared. During this process, Freedom Nieruchomości also relied on FOTC’s advice. 

In order to organize the content of accounts, define security rules and dispose of unnecessary applications at the same time, Freedom Nieruchomości started comprehensive change management with the help of FOTC. 

The technical team from FOTC audited the entire existing structure of Google Workspace and prepared a plan to implement the necessary changes. Meetings in the form of strategic sessions and educational webinars help the managerial staff get familiar with the new possibilities of the service and use them in practice.

Real estate agents spend a lot of time in the field. That is why, they use phones more often than computers. Due to the fact that every Google cloud application has its mobile counterpart, handling correspondence, disc and calendar on a smartphone is simple and convenient.

Contract templates in the cloud

The organization has over 60 branches but all of them use the same documents. Templates of cooperation agreements, brokerage agreements, protocols and other documents necessary to close the transaction with the customer are stored on shared drives. Thanks to the online storage of documents, the management board of the organization can at any time make modifications to the templates or create another variant of the contract, and the changes on the drive will be immediately visible to the agents.

Quick onboarding of employees

Although all Google Workspace accounts are prepared at the Freedom Nieruchomości headquarters, the implementation of new employees most frequently takes place in a local branch. A particular advantage of Gmail is its popularity – a lot of people use it privately, which is why team managers have an easy task to do. All they need to do is provide new agents with the location of the most important documents on the drive, explain the principles of their creation, download and sharing, and the use of a calendar or a mailbox comes very naturally to them.

Greater security of the company data

A Google Workspace audit at Freedom Nieruchomości has helped identify potential security gaps. This allowed us to redefine the limits of sharing content outside the organization. Thanks to these and many other actions in the Google Admin console, Freedom Nieruchomości data is now much better protected against leaks or attacks.
